You can train a chatbot on PDF files in a few minutes without writing code. With InstantKnowledgeBot, you upload your PDFs (manuals, price lists, policies, brochures, handbooks), the text is extracted, and you get a chatbot that answers questions only from that content. Then you put it on your website with one line of code.
What does "training a chatbot on PDFs" actually mean?
The phrase is a little misleading. You're not retraining an AI model. Instead:
- The text is extracted from your PDFs and stored as your bot's knowledge base.
- When someone asks a question, the relevant text is given to the AI model along with the question.
- The model is instructed to answer only from that text, and to say so when the answer isn't there.
This approach is usually called retrieval-augmented generation (RAG). It has two practical benefits: updates apply instantly (swap a PDF and the next answer uses the new version), and answers stay tied to your documents. For the details, read RAG chatbots explained.
Which PDFs work best?
| PDF type | Works? | Notes |
|---|---|---|
| Exported from Word, Google Docs or a website | Yes | Ideal. The text is real text. |
| Brochures and price lists from design tools | Usually | Check that text is selectable. |
| Scanned paper documents | Only with OCR | Image-only scans have no text to read. |
| Mostly charts, photos or diagrams | Partly | Text is read; images aren't. Describe key visuals in words. |
Quick test: open the PDF and try to select a sentence with your cursor. If you can, the bot can read it. If not, run the file through OCR first (many scanners and PDF editors can do this) or paste the text in instead.
Step 1: How do you prepare the PDFs?
A little preparation goes a long way:
- Remove outdated versions. Two price lists mean two possible answers.
- Keep one topic per document where you can, such as "Returns policy" or "Services and prices".
- Make sure key facts are written as text: prices, hours, limits, contact details.
- Split very large manuals into chapters if they cover unrelated topics.

Step 2: How do you upload PDFs to create the chatbot?
- Create a free account and confirm the 6-digit code we email you.
- Click New bot and pick a template for your industry, or start blank.
- Drop your PDFs into the upload area: up to 25 files at a time, 50 MB each. You can mix in Word (DOCX), TXT, Markdown, CSV, HTML and JSON files, or paste text.
- Customize the bot: we suggest a name, greeting and starter questions from your documents; adjust them and pick an accent color.
- Choose the AI engine: hosted Claude, included in your plan, or your own API key.
- Create the bot.
Step 3: How do you test the PDF chatbot?
Open the Test tab and ask:
- Five common questions your customers or staff ask.
- A question with a specific number, such as a price, a deadline or a limit. Check it against the PDF.
- A question that needs two documents, for example a policy plus a price.
- A question your PDFs don't cover. The bot should say it doesn't have that information.
If an answer is wrong or vague, look at the source PDF. Usually the information is missing, ambiguous or contradicted elsewhere. Fix the document, re-upload it, and ask again.
Step 4: How do you put the PDF chatbot on your website?
Open the Embed & share tab and choose:
- Chat bubble: paste one script tag before
</body>. See add an AI chatbot to a website. - Inline iframe: embed the chat in a help page.
- Share link: a full-page chat you can send by email or print as a QR code. Useful for internal handbooks.
How do you update the chatbot when a PDF changes?
Open the bot's Knowledge tab, remove the old file and upload the new one. The live bot updates immediately and the embed code stays the same. You can also paste additional knowledge, which is handy for small corrections such as new holiday hours.
How big can the knowledge base be?
Each upload takes up to 25 files of 50 MB each, and you can add more in later batches. When the whole knowledge base is small enough, it's given to the model in full for every question; when it's larger, the most relevant passages are found and used. Either way, the bot answers only from your content.
What can you build with a PDF chatbot?
- A customer FAQ bot from your policies and brochures: see FAQ chatbots.
- An internal handbook assistant for HR and operations: see internal knowledge base chatbots.
- A product manual assistant for support.
- A course or syllabus assistant for students.
What are common mistakes when training a chatbot on PDFs?
- Uploading every PDF you have. More isn't better. Old brochures and draft versions add contradictions. Upload current, authoritative documents only.
- Relying on images. Prices in a picture or an infographic aren't readable. Put key facts in text.
- Skipping the test. Ten minutes of testing catches most problems before visitors do.
What does it cost?
The free plan includes one bot and 100 hosted AI messages a month, and messages are unlimited if you connect your own AI key. Paid plans add more bots and messages, lead capture and team seats; see pricing. If your content lives on web pages instead of PDFs, follow create a chatbot from your website FAQ.
Frequently asked questions
Does uploading a PDF actually train the AI model?
Not in the sense of changing the model's weights. The PDF's text is stored as your bot's knowledge, and the relevant parts are given to the AI model with each question, which is why updates apply instantly.
What's the maximum PDF size?
Up to 50 MB per file and 25 files per upload. You can upload more files in further batches.
Can it read scanned PDFs?
Only if they contain a text layer. Scanned, image-only PDFs need OCR (optical character recognition) first. Most scanners and PDF editors can add a text layer.
Can it read tables and images inside PDFs?
It reads the text, including text inside tables, though complex table layouts can lose structure. It doesn't read images or charts, so describe important visuals in text.
Is my PDF used to train public AI models?
Your documents are used to answer questions in your bots. Hosted AI requests go to Anthropic, or to your chosen provider when you use your own key, under that provider's terms.
