An internal knowledge base chatbot is an assistant your employees can ask "How many days of parental leave do we get?" or "How do I submit an expense claim?" and get an answer from your own handbook in seconds. With InstantKnowledgeBot, you upload your HR policies, handbook and procedures, then share the bot with your team by link or on your intranet.

What questions do employees ask HR and operations?

The same ones, over and over, especially from new joiners:

  • Leave and time off: holiday allowance, sick leave, parental leave, how to request time off.
  • Benefits: health plans, retirement plans, perks and how to enrol, as described in your benefits guide.
  • Expenses and travel: what's covered, limits, how to claim.
  • IT how-tos: VPN setup, password resets, approved software, who to contact.
  • Procedures: onboarding steps, security rules, office access, SOPs for common tasks.
  • Company basics: office locations, holidays, org chart pointers.

A chatbot built on your handbook answers these without anyone digging through a 60-page PDF or waiting for HR to reply.

How does an internal chatbot stay accurate?

The bot answers only from the documents you upload and says when something isn't covered, so it won't make up a policy. Use the fallback message to route the rest, for example "I don't have that in the handbook. Please ask hr@yourcompany.com." Add extra instructions such as "If a question is about an individual's pay or personal situation, direct them to HR."

Remember the limits:

  • It doesn't know anything about individual employees (balances, salaries, reviews). That stays in your HR system.
  • It's only as current as the files you upload. When a policy changes, replace the document; the bot updates immediately.

What documents should you upload?

  1. Employee handbook.
  2. HR policies: leave, remote work, code of conduct, expenses.
  3. Benefits summary.
  4. IT and security guides.
  5. Onboarding checklist and first-week FAQ.
  6. SOPs for routine processes.

Upload PDF, DOCX, TXT, Markdown, CSV, HTML or JSON files (up to 50 MB each, 25 per batch), or paste text. Exports from Confluence, Notion, SharePoint or Google Docs work well as PDF, Word or HTML. See how to train a chatbot on PDFs and preparing documents for an AI chatbot.

How do you share an internal chatbot with your team?

  • Intranet page: embed the bot as an inline iframe on a page that's already behind your company sign-in.
  • Share link: every bot has a full-page chat link you can pin in Slack or Teams, or put in onboarding emails.
  • QR code: print it for break rooms, warehouses or shop floors where staff don't sit at a desk.

All three are in the bot's Embed & share tab. See iframe, share link and QR embedding.

Is it secure enough for internal documents?

Think of the bot as something anyone with the link can use. The chat itself has no employee login, so:

  • Upload documents you'd be comfortable sharing with all staff, not salary bands, investigations or personal data.
  • Embed it behind your existing intranet sign-in where possible.
  • Keep the share link internal.

On our side, traffic uses HTTPS, connected AI provider keys are encrypted at rest, and conversation logs are deleted automatically after a retention window. AI requests go to Anthropic for hosted bots, or to the provider whose key you connect. Details: AI chatbot privacy and security and our privacy policy.

How does the chatbot help HR improve policies?

The bot's overview shows top questions and knowledge gaps, the questions your documents couldn't answer. If people keep asking about something your handbook doesn't cover, or covers confusingly, you've found a policy to clarify. You can read conversations too, but tell staff that conversations are visible to bot admins, and avoid encouraging personal disclosures in the chat.

Can teams collaborate on the bot?

Yes. Pro and Agency include team seats, so HR, IT and operations can each help keep their documents current. You can also run separate bots per department. Limits are on the pricing page.

What does an HR chatbot conversation look like?

An example, where the policy details come from the company's own handbook:

Employee: I'm having a baby in March. How much parental leave do I get, and who do I tell?

Bot: Congratulations! Under the Parental Leave Policy, employees with at least 6 months of service get 16 weeks of paid leave. Let your manager and HR know at least 8 weeks before your planned start date using the Leave Request form on the intranet. For questions about your personal situation, contact hr@yourcompany.com.

Every fact comes from the policy document. The last line comes from an extra instruction telling the bot where to send personal questions.

How do you roll out an internal chatbot to staff?

  1. Pilot with one team for two weeks and fix the gaps they find.
  2. Announce it with three example questions people can try straight away.
  3. Pin the link where people already look: the intranet home page, the onboarding checklist, the team chat.
  4. Name an owner for each document so updates don't stall.
  5. Review knowledge gaps monthly and update the handbook, not just the bot.

Keep the launch message honest: the bot answers from published policies, it can be wrong if a document is out of date, and HR is still the final word on anything personal or unusual.

How do you start?

Create a free account, start a blank bot (or the SaaS help desk template, which formats answers as numbered steps), upload your handbook and test it with the ten questions HR hears most. For the concepts behind it, read what is a knowledge base chatbot.

Frequently asked questions

Is the internal chatbot private to our employees?

Bots are reached through their share link or wherever you embed them, and anyone with the link can open it. There's no employee login on the chat itself, so don't upload confidential documents; embed it on an intranet page that's already behind your sign-in, and keep the link internal.

Can it answer questions about an individual employee's leave balance or pay?

No. It only knows what's in the documents you upload, which should be general policies. Personal data belongs in your HR system.

Can it read our Confluence, SharePoint or Google Drive automatically?

No, there are no connectors, and website import can't read pages behind a login. Export pages as PDF, Word, HTML or Markdown and upload them, and re-upload when policies change. Handbook pages published on a public website can be imported from their URL.

Does it work for multilingual teams?

Yes. Employees can ask in their own language and the bot replies in that language, using your existing documents.

Can several departments have their own bots?

Yes. Paid plans include multiple bots, so HR, IT and operations can each maintain their own knowledge base. See the pricing page for limits.
