An AI chatbot for dentists is a small assistant on your practice website that answers the questions your front desk hears every day: how much a cleaning costs, whether you take a patient's insurance, whether you accept new patients, and what to do about a toothache on a Sunday. InstantKnowledgeBot builds that assistant from your own documents, so it answers with your prices and policies rather than generic internet advice.

This page explains what a dental chatbot should and shouldn't do, what to upload, and how to get one live on your site in an afternoon.

What questions does a dental practice chatbot answer?

Most patient questions are practical, repetitive and already written down somewhere in your practice. A good chatbot handles them instantly, at any hour:

  • Treatments: check-ups, cleanings, whitening, fillings, implants, orthodontics, emergency care, and who each is for.
  • Prices and payment: your price list or ranges, payment plans and financing options.
  • Insurance: which plans you accept and whether you file claims for patients.
  • New patients: whether you're accepting them, what the first visit includes, what to bring and which forms to fill in.
  • Logistics: opening hours, location, parking, accessibility and how to cancel or reschedule.
  • Emergencies: your emergency number and out-of-hours instructions.

Patients who are nervous about the dentist often prefer asking a chatbot first. The dental template tells the bot to be reassuring and to mention comfort options if your documents list them.

Why does "answers only from your documents" matter for dentists?

A general-purpose AI model will happily guess a price or describe a procedure in a way that doesn't match how your practice works. That's a real risk when a patient reads it as your official answer.

InstantKnowledgeBot instructs the bot to answer only from your knowledge base and to say so when something isn't covered. You can also set a custom fallback message, such as "I don't have that in my notes. Please call us at [number]". If a patient asks about something you don't offer, they get your phone number instead of a confident guess.

The dental template adds clinical guardrails on top:

  • It doesn't diagnose or give clinical advice.
  • For pain, swelling, a broken tooth or bleeding, it gives your emergency contact details from your documents.
  • For severe facial swelling, trouble breathing or swallowing, or a serious injury, it tells the patient to call their local emergency number or go to an emergency department.

You can read the industry presets on the templates page.

What should a dental office upload?

The bot is only as good as the documents behind it. The dental template includes a "what to upload" checklist and a starter FAQ with placeholders you can paste in and edit. In practice, these documents do most of the work:

  1. Treatment list with a sentence or two on each service.
  2. Price list or price ranges, plus payment plans or financing.
  3. Insurance list and how claims work at your practice.
  4. New patient information: first-visit length, what's included, forms and what to bring.
  5. Hours, address, parking and your emergency contact.
  6. Cancellation policy.

You can upload PDF, Word (DOCX), TXT, Markdown, CSV, HTML or JSON files, up to 50 MB each and 25 per upload, or simply paste text. If your price list only exists as a scanned image, run it through OCR first, or retype it. For tips on structuring documents so a bot answers well, see preparing documents for an AI chatbot.

How does the chatbot turn website visitors into booked appointments?

Answering questions is half the job. The other half is not losing the patient who was ready to book at 10 p.m.

On the Pro and Agency plans (and during the free 14-day Pro trial), lead capture lets the bot notice when someone wants to book, get a quote or talk to a person, and show a short form right in the chat. The dental template's preset asks for name and phone with the title "Book a visit". You choose when the form appears:

  • On intent: when the visitor says something like "Can I come in Tuesday?"
  • After a set number of messages
  • Before the chat starts

Each lead is emailed to you the moment it's captured, with the conversation attached, and appears in your dashboard, where you can move it from new to won, add notes and export a CSV. Our step-by-step guide covers it: set up chatbot lead capture.

How do you add a chatbot to a dental website?

  1. Create a free account and confirm the 6-digit code we email you.
  2. In the dashboard, create a new bot and pick the Dental practice template.
  3. Upload your documents or paste the starter FAQ and replace every placeholder.
  4. Set the bot's name, welcome message and accent color to match your brand.
  5. Test it in the Test tab with real patient questions.
  6. Open Embed & share and copy the chat bubble snippet into your site's footer.

Platform-specific steps are in our guides for WordPress, Wix and Squarespace. Prefer not to do it yourself? The done-for-you setup service builds, brands and installs the bot for you.

How do you keep a dental chatbot accurate over time?

Prices change, insurers come and go, and new services launch. Two habits keep the bot trustworthy:

  • Update the documents, not the code. When you add or remove a document in the dashboard, the live bot updates immediately and the embed code stays the same.
  • Read the knowledge gaps. The bot's overview shows top questions and questions your documents couldn't answer. If ten patients asked about clear aligners this month and your FAQ doesn't mention them, add a paragraph.

What about patient privacy?

Keep the chatbot to front-desk questions, and avoid inviting patients to share medical details in the chat. The lead form for dental practices asks for contact details only. Conversation logs are deleted automatically after a retention window, and you can review what we store in our privacy policy. InstantKnowledgeBot isn't a clinical system, and it doesn't replace your patient portal or practice management software.

Is a chatbot worth it for a small practice?

If your team answers the same questions on the phone every day, or your website gets visits outside office hours, a chatbot is a low-cost way to answer instantly and catch booking requests you'd otherwise miss. You can start on the free plan with one bot, see how patients use it, and compare plans on the pricing page when you want lead capture and more messages. For more ideas, browse our blog.

Frequently asked questions

Can an AI chatbot give dental advice to patients?

It shouldn't, and the InstantKnowledgeBot dental template is written not to. It answers practical questions from your documents (treatments, prices, insurance, hours, booking) and, for pain, swelling or a broken tooth, gives your emergency contact details instead of a diagnosis.

How does the chatbot know our prices and insurance plans?

You upload or paste them. The bot answers only from the knowledge you give it, so a current price list, an insurance list and your new-patient FAQ are the most useful documents to start with.

Can the chatbot book appointments?

It can collect appointment requests. With lead capture (Pro and Agency plans, and during the free trial) it asks for the patient's name and phone when they want to book, emails the request to you and stores it in your dashboard. If you have an online booking link, put it in your FAQ and the bot will share it.

Will it work on our practice website?

Yes. It works on any site that accepts a script tag or an iframe, including WordPress, Wix, Squarespace, Webflow and custom sites. Installation is one line of code.

What does it cost for a single dental office?

There is a free plan with 1 bot and 100 hosted AI messages a month, and paid plans for more messages, lead capture and no badge. See the pricing page for current prices.
