A real estate chatbot answers the questions buyers, sellers and renters ask on your website, from "What do you have under $400k near the school?" to "What are your fees for selling?", and turns serious visitors into booked viewings and valuations. InstantKnowledgeBot builds it from your agency's own listings and guides, so it talks about your properties and your process, not generic advice.
What do property buyers and sellers ask a chatbot?
Real estate websites attract four kinds of visitors, each with predictable questions:
| Visitor | Typical questions |
|---|---|
| Buyers | What's available in this area? How do viewings work? What are the steps to make an offer? |
| Sellers | How much is my home worth? What are your fees? How long does it take to sell? |
| Landlords | Do you manage properties? What does management cost? How do you vet tenants? |
| Tenants | Which rentals are available? What's the deposit? How do I apply? |
The real estate template is built around these. It tells the bot to help each group with listings, neighbourhoods, process, fees and next steps, and to ask one short qualifying question when useful (budget, area, timeline or bedrooms) before inviting serious visitors to book.
How do you stop a chatbot inventing listings?
This is the main risk with AI on a property site. A general model can describe a beautiful three-bedroom home that doesn't exist.
InstantKnowledgeBot bots answer only from your knowledge base. The real estate template adds a specific rule: never invent listings, prices, availability or features. If a listing isn't in the documents, the bot says so and offers to have an agent follow up. You can also set a fallback message with your office phone number.
To keep answers current:
- Export your listings to a CSV or document (address or area, price, bedrooms, key features, status) and upload it.
- Replace the file when listings change. The live bot updates immediately and the embed code stays the same.
- Mark sold or let properties clearly, or remove them.
There's no automatic MLS or portal feed. If your listings change many times a day, link visitors to your search page for live availability and use the bot for everything else.
What should a real estate agency upload?
The template's checklist covers:
- Current listings (export from your listings site).
- Areas you cover and neighbourhood highlights: schools, transport, amenities.
- Buying, selling and renting, step by step.
- Fees and commission, and what's included.
- Valuation process, viewing process and how offers work.
- Office hours, contact details and your team.
Formats: PDF, DOCX, TXT, Markdown, CSV, HTML or JSON, or pasted text. Tips: preparing documents for an AI chatbot.
How does the chatbot capture real estate leads?
On Pro and Agency, and during the 14-day Pro trial, lead capture turns intent into contact details. When a visitor says "Can I see the Elm Street house on Saturday?" or "What would my flat sell for?", the bot answers and then shows a short form in the chat. You choose the trigger:
- When they're interested (on intent, recommended)
- After a few messages
- Before the chat
Each lead arrives by email with the last few messages of the conversation, so the agent calling back knows exactly what the person wants. Leads also land in a pipeline in your dashboard (new, contacted, qualified, won, lost) with notes and CSV export. More on this in lead generation chatbots.
What doesn't a real estate chatbot do?
Be clear with clients and colleagues about scope:
- It doesn't give legal, tax or mortgage advice. The template tells it to suggest a qualified professional or your listed partners.
- It doesn't value a property. It explains your valuation process and collects the request.
- It doesn't sync with your CRM automatically. Leads come by email and CSV export, which most CRMs can import.
How do you add a chatbot to a property website?
- Create a free account and start a bot from the Real estate agency template.
- Import your website from its URL (your areas, fees and process pages; listings pages too if they show their details without JavaScript), then upload your listings export and guides. Paid plans can re-import the site weekly.
- Personalise the welcome message, accent color and the starter questions, such as "How do I book a viewing?"
- Test in the Test tab: ask about a listing that doesn't exist and check that it declines politely.
- Copy the snippet from Embed & share into your site footer. See the WordPress guide or plain HTML guide.
You can also share the bot's link or QR code on yard signs, flyers and listing brochures, so people can ask questions about a property from the street. The share link guide explains how.
What does a property chatbot conversation look like?
An example, where both listings come from the agency's uploaded export:
Visitor: Do you have anything with 3 bedrooms near Riverside under $450k?
Bot: Yes, two listings match: 14 Elm Street (3 bed, 2 bath, $435,000, garden) and 7 Mill Lane (3 bed townhouse, $419,000). Would you like to book a viewing for either?
If none matched, the bot would say so and offer to have an agent get in touch when something comes up.
What mistakes should agencies avoid?
- Stale listings. Remove sold and let properties promptly, or the bot may describe them as available.
- Fees in several versions. Keep one up-to-date fee document.
- Too many form fields. Name, email and phone are usually enough to book a viewing.
- No fallback number. Always give visitors a way to reach an agent directly.
Which plan does a real estate office need?
The free plan includes one bot and 100 hosted AI messages a month, enough to test with real visitors. Lead capture is on Pro and Agency. A brokerage or a marketing agency serving several offices can use the Agency plan's client workspaces. Compare current prices on the pricing page, or read about chatbots for agencies.
Frequently asked questions
Can the real estate chatbot show our current listings?
It can answer questions about listings you add to its knowledge base, for example a CSV or document exported from your listings site with address, price, bedrooms, features and status. It doesn't connect to an MLS feed automatically, so update the file when listings change.
Will the chatbot make up properties or prices?
It's instructed to answer only from your documents, and the real estate template explicitly tells it never to invent listings, prices, availability or features. If something isn't in the knowledge base, it says so and offers to have an agent follow up.
Can it capture viewing and valuation requests?
Yes, with lead capture on Pro and Agency (and during the free trial). The form appears when a visitor wants a viewing, a valuation or to talk to an agent, and each lead is emailed to you.
Does it give mortgage or legal advice?
No. The template tells the bot not to give legal, tax or mortgage advice and to suggest a qualified professional or your listed partners instead.
Can a brokerage run separate bots for each office or agent?
Yes. Paid plans include multiple bots, so each office, team or agent can have a bot with its own documents, name and lead settings. See the pricing page for bot limits.
