> InstantKnowledgeBot lets marketing and web agencies build a knowledge base chatbot for each client from that client's documents, install it on their site in minutes and report on it monthly. The Agency plan adds client workspaces, read-only client report links, team seats and your own badge text and link instead of ours.

A **white-label AI chatbot for agencies** lets you offer every client a chatbot trained on their own content, without building one from scratch each time. With InstantKnowledgeBot you upload a client's documents, start from an industry template, brand the bot, install it with one line of code and send the client a monthly report link. On the Agency plan the badge says your name, not ours.

## Why do agencies add AI chatbots to their services?

Clients increasingly ask for "an AI chatbot on the website". For an agency, a knowledge base chatbot is a natural add-on to web design, SEO, PPC or social retainers:

- **It's fast to deliver.** A first version takes minutes once you have the client's documents.
- **It's easy to explain.** "It answers questions from your own content and captures leads" is a clear value proposition.
- **It creates recurring work.** Updating knowledge, reviewing knowledge gaps and reporting on leads fits a monthly retainer.
- **It ties into your other work.** Leads from the bot feed the same funnel your campaigns drive traffic to.

## What does the Agency plan include?

| Feature | What it does |
|---|---|
| **Client workspaces** | Group each client's bots, so a 30-client portfolio stays organised. |
| **Client report links** | Read-only links you can send clients every month. They show performance, not chat content or personal data. |
| **Your own badge** | Replace "Powered by InstantKnowledgeBot" with your agency's text and link. |
| **Team seats** | Invite account managers and specialists. |
| **Lead capture and CSV export** | Collect leads in each client's bot and export them. |
| **Full analytics** | Messages, conversations, top questions, knowledge gaps and feedback per bot. |
| **Priority support and onboarding** | An onboarding call to set up your workflow. |

Bot, seat and message limits, and current prices, are on the [pricing page](/pricing).

## How does an agency build a client chatbot?

1. **Collect the client's documents:** FAQ, services, pricing, policies, product catalogue. A short intake questionnaire helps.
2. **Create the bot from a template.** InstantKnowledgeBot has 10 industry templates, covering clinics and telehealth, dental, real estate, e-commerce, restaurants, SaaS, law firms, education, hotels and fitness. Each includes a welcome message, starter questions, tuned instructions, a "what to upload" checklist and a lead capture preset. Browse them on the [templates page](/templates).
3. **Assign the bot to the client's workspace** in its settings.
4. **Brand it:** name, welcome message, accent color, starter questions and your custom badge.
5. **Test it** in the **Test** tab with the client's real questions.
6. **Install it** on the client's site. We have guides for [WordPress](/guides/add-chatbot-to-wordpress), [Shopify](/guides/add-chatbot-to-shopify), [Wix](/guides/add-chatbot-to-wix), [Squarespace](/guides/add-chatbot-to-squarespace) and [Webflow](/guides/add-chatbot-to-webflow).
7. **Turn on lead capture.** New leads are emailed to your account and collected in the dashboard, where you can forward them or export a CSV for the client.

## How do you report results to clients?

Each client can get a **read-only report link**, which shows how the bot performed without exposing conversations or visitors' personal data. Pair it with your own commentary:

- **Top questions:** what customers want to know.
- **Knowledge gaps:** questions the bot couldn't answer, with your recommendation to fill them.
- **Leads captured** and their status.

Knowledge gaps are especially valuable: they're evidence for new FAQ content, landing pages and even product changes.

## How should agencies price chatbot services?

That's your call. Common approaches are a one-off setup fee plus a monthly management fee, or bundling the bot into an existing retainer. Your cost is your InstantKnowledgeBot plan, plus AI usage if bots run on a connected own key. Bots can run on hosted Claude from your plan's allowance, and message packs add extra hosted messages that never expire. See [bring your own key explained](/learn/bring-your-own-key-explained).

## What can't the chatbot do for clients?

Be upfront with clients so expectations match the product:

- It answers from uploaded documents, pasted text and pages imported from a website URL (up to 500 pages per import on Agency).
- It's a **website chatbot** (bubble, inline iframe and share link). It doesn't run on WhatsApp, Messenger or voice.
- It has **no live chat handoff or ticketing**. Lead capture collects contact details for follow-up.
- It **doesn't take actions** in other systems, such as booking or order lookups.

If a client needs those, an enterprise support platform is a better fit. Our fair [roundup of AI chatbot builders](/compare/best-ai-chatbot-builders) explains the trade-offs.

## Which clients are the best fit?

Start with clients where questions are frequent and answers are written down: dental and medical practices, real estate agencies, restaurants, hotels, gyms, e-commerce stores, schools and local services. Each has a matching template. Clients whose sales depend on enquiries benefit most from [lead capture](/solutions/lead-generation-chatbot). Clients with very complex products or regulated advice need tighter scoping and more testing before launch.

## What does a sensible client launch checklist include?

Before handing a bot over, run the same checks for every client:

1. **Every template placeholder replaced** with the client's real details.
2. **Fallback message set** with the client's phone or email.
3. **Twenty real questions tested**, including two the bot shouldn't answer.
4. **Lead capture tested end to end**: submit a test lead and confirm the email arrives.
5. **Badge and branding checked** on desktop and mobile.
6. **Installed on the live site** and visible on the pages the client cares about.
7. **Report link sent**, with a date for the first monthly review.

A consistent checklist keeps quality high as your client list grows, and it's easy to hand to a junior team member.

## What else is there for agencies?

- **Affiliate program:** earn 30% of payments for 12 months when you refer customers. See [affiliates](/affiliates).
- **Done-for-you setup:** if you'd rather outsource a build, our [setup service](/setup-service) structures the documents, writes instructions, brands, installs and tunes a bot for 30 days.

## Frequently asked questions

**Can I replace the InstantKnowledgeBot badge with my agency's name?**

Yes. On the Agency plan you can set your own badge text and link, for example Built by Northwind Digital. Pro removes the badge but doesn't allow a custom one.

**Do clients need their own InstantKnowledgeBot accounts?**

No. You build and manage the bots in your account, grouped into client workspaces, and send clients read-only report links. Report links don't include chat content or personal data.

**How many client bots can an agency run?**

The Agency plan includes many bots and team seats. Current limits are listed on the pricing page.

**Can each client bot use the client's own AI key?**

Each bot chooses its AI engine: hosted Claude from your plan's allowance, or a connected own key for Claude, ChatGPT, Gemini or Grok. Keys are connected at the account level and chosen per bot.

**Is there an affiliate program for agencies?**

Yes. Agencies that recommend InstantKnowledgeBot can earn 30% commission on payments for 12 months through the affiliate program.
